The Information We Collect
We only collect what we need to design, make and deliver your kit and to run the club portal.
| Who | What we collect |
|---|---|
| People who enquire | Name, club, role, email, phone, sport, what you need, timescales, colours and ideas, and any logos or files you upload. |
| Club officials (chair, secretary, treasurer, manager or coach) | Name, role, email, phone, password (stored encrypted), club details, team details, permissions, delivery and billing addresses, messages, approvals and order history. |
| Players and parents or guardians | Player name, name and number to be printed, sizes, team, and the parent or guardian’s name, email and phone. We do not ask for dates of birth, photos or medical information. |
| People who pay | Payment amounts, dates and references. Card payments are handled by our payment provider (Stripe); we never see or store full card numbers. |
| Website and portal visitors | Device and browser information, pages visited and how you use the site, collected by cookies and similar technologies. See our cookie policy. |
Children’s Information
Many of the clubs we work with have junior sections, so we hold some information about children. We keep this to the minimum needed to make their kit: name, the name and number to be printed, sizes and team.
- Players under 16 are added by a parent or guardian using the link their club shares, or by a club official who has their parent or guardian’s permission.
- Players aged 16 or over can add their own details.
- Only Game Winning and the officials of that player’s club (for example the team manager) can see a player’s details. Other parents and players cannot.
- We never use children’s information for marketing, and we never share it with advertisers.
How We Use It and Our Lawful Basis
UK data protection law says we must have a lawful basis for each way we use personal information.
| What we do | Lawful basis |
|---|---|
| Reply to your enquiry, prepare mock-ups and quotes | Steps you asked us to take before entering a contract; or our legitimate interests in responding to clubs that contact us |
| Design, make, deliver and support your order, including names, numbers and sizes | Performance of our contract with you or your club; for players and parents, our legitimate interests in fulfilling the club’s order |
| Run club portal accounts, permissions, approvals and messages | Performance of a contract; legitimate interests in keeping the portal secure and working |
| Take payments, keep accounts and meet tax rules | Contract; legal obligation (for example HMRC record keeping) |
| Send service messages (order updates, design approvals, delivery notices) | Contract; legitimate interests |
| Send news and offers by email or text | Your consent, or for existing customers the “soft opt-in” under the Privacy and Electronic Communications Regulations. You can unsubscribe at any time. |
| Show our past work in our gallery and on social media | Legitimate interests. We show kit, not people, unless the club or person has agreed. |
| Website statistics and advertising cookies | Your consent, given through our cookie banner |
| Prevent fraud and keep our systems secure | Legitimate interests; legal obligation |
Where we rely on legitimate interests, we have balanced our interests against yours. You can ask us for details of that assessment. We do not make decisions about you based solely on automated processing.
Marketing
We will only send you marketing emails or texts if you have opted in, or if you are an existing customer and we are telling you about similar kit and services (you can opt out at any time). Every marketing message includes an unsubscribe link, or you can email enquiries@gamewinning.co.uk. Opting out of marketing does not stop service messages about an order you have placed.
International Transfers
Some of our providers (for example Google, Meta and Stripe) may process information outside the UK, including in the United States. Where they do, we make sure there are appropriate safeguards in place, such as the UK–US data bridge, a UK adequacy decision, or the UK International Data Transfer Agreement or Addendum. You can ask us for more details.
How Long We Keep It
| Information | How long |
|---|---|
| Enquiries that do not lead to an order | 12 months from our last contact |
| Orders, invoices and payment records | 6 years from the end of the financial year they relate to (tax law) |
| Club portal accounts | While the account is active, then 2 years after the club’s last order. You can ask us to close an account sooner. |
| Player names, numbers and sizes | Until removed by the club, player or parent, or 2 years after the player’s last order, whichever is sooner. Order records are kept as above. |
| Marketing preferences | Until you unsubscribe; we then keep a note that you opted out so we don’t contact you again |
| Data protection complaints | 2 years after the complaint is closed |
| Cookies | See the cookie policy |
Keeping It Safe
We use appropriate technical and organisational measures to protect personal information. These include encrypted connections (HTTPS), encrypted passwords, role-based access in the club portal so people only see what they need, and limiting staff access. If a data breach is likely to put you at risk, we will tell you and the ICO as the law requires.
Your Rights
You have the right to:
- access the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it;
- object to us using it, including for direct marketing (which we will always stop);
- ask us to transfer it to you or another organisation (data portability);
- withdraw consent at any time where we rely on consent, for example to cookies or marketing.
Parents and guardians can exercise these rights on behalf of their children. Players aged 13 or over can also make requests themselves.
To make a request, email [privacy@gamewinning.co.uk]. We will respond within one month. This can be extended by up to two more months for complex requests, in which case we will tell you why. We may need to confirm your identity first. There is usually no charge.
Complaints
If you are unhappy with how we have handled your personal information, please tell us first so we can put it right. Email [privacy@gamewinning.co.uk] with “data protection complaint” in the subject line, or write to us at our registered office. We will acknowledge your complaint within 30 days, look into it without undue delay, and tell you the outcome.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection: ico.org.uk/make-a-complaint, helpline 0303 123 1113.
